Re: How do we accept a check as payment?

How can we incorporate check payments in online stores?

I just realized that the Shopify app doesn't have "Check" as a payment option.  A lot of people still pay with checks and we encourage it!  Once again, brick & mortar stores like mine are not very well supported with this app.  Has anyone out there come up with a way to take a check?

I think you can take a check.  Be sure in your payments settings that you select that CHECKS as payment option.  Once we did that it showed up as an option at check out.  Also, any time we DO make a change like that, we close and re-launch the POS app to refrest the system.  Good luck! We are having lots of trouble as well.....

Thanks for the help.  You would think it would be that easy, but I have not been able to find CHECKS as a payment option anywhere.  All I can find are electronic payment options.

We only accept check from certain service clients. We ring the sale out as cash, so at the end of the day we have to subtract the amount of the check from the total cash for deposit. After that the cash and check are deposited on the same slip at our bank. I'm sure this can get pretty complicated if you are accepting multiple checks daily. Other than that you can probably just mark the order as paid and manage the checks outside of the software.

Thank you for your input.  We usually accept many checks a day so that would be quite labor intensive to do on a daily basis.

If you cant assign checks as a payment like cash and want something fast, you could set up a “special payment” in the POS and name it “payment by check”

special payments are a way for the system to treat a receipt as paid

I thought about doing that, but I read a complaint that Shopify does not send "custom payment types" over to QuickBooks.  When you set up the custom payment, it tells you that it will mark the order as paid, but Shopify will not process the payment.  Do you know if that is true?

Hi!  Not sure if you are all still struggling with this...here's what I did - I made a new customer named "Check Purchase".  When someone wants to pay with a check, I accept that payment from them as "cash" but assign it to the "Check Purchase" customer.  Then it's easy to see in Quickbooks which payments are not cash and record those as checks to deposit instead.

Also, I just want to say that it's totally annoying that check purchases aren't a default option!  Feeling your pain here!

That's a great idea!  I will definitely set it up that way.

We did a similar work around for random customers that come in and pay with a credit card.  We noticed that any time we don't assign an existing customer's name to the purchase and they pay with a credit card, Shopify automatically creates a new customer account for them.  I absolutely DO NOT want or need to have an account created for someone that I will probably never see again.  So we created a customer named "Counter Sales" and we assign that name to any random customer that is paying with a card.  That way, no new customer account is created.

Shopify really needs to consult with actual business owners to learn what features are needed and not needed in this program!!!  This is a joke.  My "Bitch List" is very long!

i have had no luck getting my payments synced to Quickbooks desktop. It sounds like you're having no issues?

How are things going now with the QB desktop sync?  This is my plan after I finish up the year end stuff.  I am a QB POSer so this is such a learning curve and I don't want to go back to manually entering and not ready to be QB online.

I never got it to work and gave up on Shopify and went back to QB POS to finish out the year.  Now I'm currently searching for a new POS - anything but Shopify!

UGH!  I am committed to at least try and already know it is not going to be an easy year.  Can't believe I am saying this, but miss QB POS so much.  I finished out the year on QB POS as well.  I have some downtime, but seems like everything is a work around.  Now I am discovering a 3% discount is not a 3% discount and not sure how that can even happen.

Please keep us updated if you find something that has the features of QB POS.  Doesn't seem to exist.

Steps:

  • From Shopify POS, tap ≡ > Settings > Payment settings.
  • Under Custom Payment Types, tap Add custom payment type.
  • Type a payment type name into the box, and tap Save.
  • Tap the toggle to activate or deactivate the custom payment type.

How would you track and reconcile a custom payment type such as "Checks"? I don't see how we could run a report or balance out the POS for a custom payment type.

You can find it in the shopify admin section under finances and filter to the period you are looking at.

I use QB and a paid app, Quickbooks Desktop by Parex to transfer data into QB and it is working much better than I anticipated:).  They did some customization to have checks show up differently than cash.
