Financing, tax rates, and accounting
Hi there,
I was wondering where I can see/download the invoice for the charges that Shopify Payments charges me. I am aware of the invoices we can get from the Billing section, but these invoices does not include the expense I have from using Shopify Payments.
Example: I sell for €100,- on the store and I use Shopify payments. Shopify charges me a % fee for the transaction and send me (let's say for example) €95,-.
A fee is deducted for each sale I do, and this sums up to quite a bit over a month. I need an invoice for these fees. They are not charged to my card, they are deducted from the payments you send me.
By the way, I have seen the section where I can download the list of fees that I pay, but I am looking for an invoice for these fees?
Hope this makes sense and hope you can help.
Thanks,
Ivar

Me again... I found it... these invoices can be found here under the "Documents" link in the Payout section
Hey Ivar,
The payments fees can be found in your Payment Providers section. To get there:
- click 'Settings'
- click 'Payment Providers'
- click 'View payouts'
You will be taken to a page which gives you a list of the payouts Shopify will be have sent to your bank account each day. You can then click on any particular date and it will give you a breakdown of the payments and fees. You can then export this data.
If you have an online accounting system - e.g. QuickBooks - it is possible to have this information automatically uploaded from Shopify and fed into your account system each day, thus saving you the time, manually recording these fees.
Hi there,
Thank you, I know this.. I need an invoice for these fees?
Shopify does not provide a separate invoice for these fees.
So... they charge me money for a service and are not able to give me an invoice?
If you're hoping to understand your bill a little better there is this page:
https://help.shopify.com/en/manual/your-account/manage-billing/your-invoice/charges
Is there something missing in that you're needing?
Here is my problem... my accountant need an VAT invoice for the service that "Shopify Payments" are providing. They charge me a fee for each transaction (this is fine), but I need an invoice for these fees... these fees are not included in the regular invoice that we get in the admin panel (Settings > Billing)
So basically, from what I can see (please correct me if I am wrong) I am charged with a fee, and Shopify can not give me an invoice for these fees. That is a problem for me..
Hope to get some help.
Ivar

Legend! I needed to know this too. Thank you!
This not solved. HMRC will not accept a spreadsheet just showing the fees taken from each transaction, which is the spreadsheet you get when you download from the Payment screen.
Shopify supply a service by charging a fee to use Shopify Payments, it is for example 2.2% + 0.20p per order.
HMRC requires the following on an invoice for supplying a service.
Your invoice must include:
Shopify use Stripe to process Shopify Payments and we also use Stripe for other websites and we receive a monthly invoice from Stripe which show these charges.
Shopify are in the wrong in not producing an invoice for a service they provide and HMRC will catch up with them.
I am surprised that ( eCommAccountant ) would said that, an invoice (VAT or not), is a legal document, which should show the company name ie Shopify, the invoice number, company registration, what the charge is for, and the amount.
Printing a csv file means nothing, it does not mean Shopify will warrants this. I think many online companies are doing bad practice and not showing these sales properly. As those csv file can be manipulated. These fees are higher than the monthly fee, which Shopify provides. Even Facebook knows this and provide charges for the campaigns.
Shopify needs to provide an invoice for these charge, where there is an unique invoice number. Our accountant, HMRC, etc needs these to support the charges.
I believe you will find the VAT invoice as a pdf document here under "Documents" 🙂
Settings > Payment Providers > View payouts > Documents (see below)
I don't have the Documents option - any ideas?
We are having the same issue. We were told that the Documents link doesn't exist as we are not being charged tax. Did you ever get a fix for this?
Hello !
You need to go to admin/settings/billing/history; you will see the list of your payments and you'll be able to download it;
please see the screenshot. I hope this is what you're looking for.
Hi, as previously mentioned, this screen does not provide an invoice of fees taken for Stripe transaction charges.
I don't believe this issue is resolved... has anyone had any luck finding these invoices?
I have the same problem, why does shopify not provide this?
In my account not seem the same. Check below please!
thank you so much 🙂 i searched for an hour now... 😄 and sent also a message to support... because its only document so i did not notice it... 🙂
Hey,
I was looking for this same thing. Do you see all invoices for one full month in once?
I am looking for the transaction fee invoices too but I can't see Payouts - Documents
Can anyone help please?
Settings -> Payments -> view payouts -> on this page you will click actions -> documents, here you can download PDF.......
These are the invoices everyone is looking for right?
But now the following. The fee amount on payout screen and on the invoice doesn't match and i have no idea why...... Is this a bug?
As you can see below on my screen there is no where at all to view or download a document related to payouts?
Really need something working here 😞
Same for us - no action available to download documents/invoices.
It's so frustrating, it's basic accounting requirements and Shopify doesn't assist in any way to give us compliant, usuable accounting documents.
This seems like a basic accounting necessity and I am therefore really surprised that it is not readily available.
I just had a lengthy chat with support asking them about this and also linking to this thread. They concluded that they will look a little bit more in detail into this. I really hope they do and will keep you posted.
Thanks very much
Hello everyone,
Has there been any update on this from Shopify?
I am finding it really odd that Shopify are not providing a VAT invoice for the transaction fees. Looks like an ongoing issue - does anyone know how accountants deal with that on the VAT returns?
I know that in principle the VAT on these fees (0%) will be subject to the reverse charge mechanism on the VAT return, however HMRC requires to have a record of the invoice for the fees as part of the return. What people are doing on the VAT returns: do they omit these completely from the return or include it as a reverse charge and risking not having the required records.
Bottom line is that it doesn't make any difference on how much much we pay to HMRC, its more to make sure we are compliant with HMRC rules.

Has anyone found a solution to this?
We also need an invoice with our legal and VAT information on it, in order to be able to present our accounts, and it seems to be an issue for all companies.
UPDATE:
It is possible to download the invoices in the documents section, as some have mentioned above, but only if the owner of the store enters the Payout section > Actions > Documents. As a store manager, but not the owner of the Shopify account, I was not able to see that option.
However, the fees on the invoice do not coincide with the fees that can be downloaded in the payout section. I'm going to open a conversation with Shopify help on this, as this is ridiculous..
Hi Giedre ,
I'm not sure where you're seeing this. I'm the store owner and I've gone to Settings > Payments > View Payouts but all I can see is a page of the daily fees and the options to export payouts. There's no mention of Actions or Documents?
Like yourself we are desperate for Shopify to sort these invocies so we can account properly.
This sounds really random.. it seems that some of us can see it and some don't. I can't see it myself, but my show owner was able to see it where I marked it in the Payouts section in the screenshot below. When he clicked on "Actions" it opened up a dropdown menu that had two options: Export or Documents.
I'm the store owner though and have never seen a dropdown box for actiosn in this area?
It seems it may have been a brief flirtation with the option by Shopify?
I'm going to ask the shop owner to do a screenshot, we were able to download it just 30 minutes ago from his account. However, the numbers are not the same we can see in the payouts section, so still not sure what to do with it.. Shopify help is now checking it out and promised to get back to us.
Fantastic, thank you 🙂
Good luck with Shopify
Here it is. Hope that helps!
Many thanks Giedre
Oh my word, I wish we had that option!
Do you know which level of Shopify you use? We currently have the middle Shopify plan at $79 p/m
I can't fathom why ours would be any different??
This is becoming increasingly weirder.
We are on basic plan..
Same here!
I'm the owner and I don't have that option. So frustrating...
I actually have two Shopify stores, one on Basic plan and one on the middle plan and the option isn't on either.
I did wonder if it was a UK / Euro store thing and I notice in Giedre's screenshots that it's a store in Euros not pounds?
I've also been through all my users at various permission levels and none can see this option either 😞
Yes, we are based in Spain, so maybe that has to do with it? Still it's something that should be available everywhere.
Has anybody in the UK managed to find a solution to this?
We need the VAT documentation for the card processing fees from Shopify Payments and the only mention of fees I can find anywhere is the CSV report that HMRC are never going to accept.
Going to ask Shopify directly, but if there's a solution already in the community that'd be great.
This could be accomplished using our Report Toaster app and integration with Mechanic. Report Toaster would be used to retrieve the data on Shopify payment fees and then Mechanic can be used to format any type of PDF which might be acceptable to HMRC. Please let me know if you'd like some direction.
Hi there,
Appreciate your help. however, I don’t think the problem is retrieving the data on how much transaction fees we are paying (this can be extracted fairly easy into a csv file).
The problem is that Shopify does not provide an appropriate document (VAT invoice) for those charges. Its not up to the customer to try and formate one - this should be a formal documentation issued by Shopify (provider/supplier) to us as their customers. For example, it should have a unique invoice number that follows on from the last invoice. As a ‘customer’, its not up to us to so....
I am no further forward.
The address on the shopify mothly bills is Ireland and it has VAT registration numver. Not sure why they can't issue the same document for the trasaction fees.
Please do come back and update us if you manage to get in touch with Shopift directly...
Any luck on receiving a response or solution from Shopify yet?
Nope
This is totally a UK/Euro thing.
I have stores in the UK where I cant download these documents.
I have stores in the EU, and all the documents are there and available for those stores.
So frustrating to why they can do this for EU stores and not UK based stores.
Shopify need to sort this out!
Hi AGCOM, we are based in Germany and we have the same issue, we dont have such an option in shopify, and basicaly I hope the Finance body in germany wotn audit us 🙂 as we will have a lot of unecesary explaining to do, and probably have to look for a new accountanted who will accept dealing with this BS
Hi
We also desparately need this feature, however it appears as if something has changed within Shopify as in our payouts page there are no sign of any documents to download?
Is the above solution still working for you Ivar?
I'm wondering why it's not visble on our payouts page?
Thanks
You get these details by orders from the Shopify reports they provide.
This is most definitely not solved! It seems like whatever 'solution' has been accepted it only works for half the businesses in this thread?!
Please see the attached image, when we click the documents button there's nothing there!
What is going on Shopify??
Ive been told by Shopify Support that these documents are only available if your store is in Ireland... which is BS as I have a store in Netherlands that does show the documents. My UK stores cant see these documents at all, just like your screenshot Steve.
@Shopifythis isnt resolved and needs a solution!
Maybe all we have to do is report them? I had chat with Support as well, but eather they avoid the answer and talk about their stupid report 🙂 or they just hand up.
reporting them maybe wuld bring a change in a few monhts or so.
Hi All, this has been an issue for a long time for me. We still do not get invoices for the UK & US stores held by my UK company. Since lovely BREXIT we had to open an EU company & then opened an EU store, bizarrely the EU store has transaction invoices! This is why anyone showing Euro screenshots can download them. Maybe the EU has more power to punish companies for not giving invoices when they should!
I think we got to the bottom of this. You don't get a tax breakdown unless you uncheck the box in admin/settings/taxes that says 'All prices include tax'
We have the same for all 3 sites, all have the "all prices include tax". Support said we cannot download these invoices for the Uk & US stores as they are only available for the EU stores.
not solved. clicking the documents button says this. i need invoices. a CSV isnt a valid document for tax.
Hi! is this problem solved? I can't find invoices for the transaction fees.
Nope, not as far as I know
Didn't get anywhere with Shopify support but I've been trying to solve this problem over the last few days and have come to the conclusion that the transaction charge is an exempt expense and hence why Shopify doesn't produce a VAT invoice for it. Screenshot attached from gov.uk
As an exempt expense, they have no legal obligation to provide you with a VAT invoice and it doesn't need to be accounted for on your VAT return.
This is unlike the software subscription charges which are classified as reversed charged and do need to be accounted for even though there is no additional VAT to pay.
