I use the Carro app to process Flip app orders (how they have it set up) Most of the orders that were giveways come info my Shopify store and they show that I was paid say $15 through Stripe (outside Shopify). However, these were actually free samples and I was never paid. How do I fix all these orders that came through this way where I didn't actually receive ANY money. Now all my reports are jacked up, really frustrating as Flip is zero help. Now I have dozens of orders that show I was paid but I wasn't. There doesn't seem to be any way to edit fulfilled orders. Thanks for your advice.

The Fix:

Here’s a straightforward way to clean this up:

  1. Duplicate the Original Orders (Optional but Safe):

    • To preserve the original records, you can duplicate these orders as drafts. Go to each order, click on More Actions, and select Duplicate. This creates a draft order without affecting the original.
  2. Refund the Payment to Adjust the Records:

    • For each affected order, you can process a refund to remove the payment amount from your reports.
    • Go to the order in Shopify.
    • Click Refund and enter the full amount showing as “paid” (e.g., $15).
    • This won’t actually refund any money since Stripe didn’t process real payments, but it will correct the order's status in your reports.
  3. Add Tags or Notes for Clarity:

    • Add a tag like "Free Sample" or "Flip Giveaway" to these orders for future reference.
    • You can also write a note in the Order Timeline to explain what happened.
  4. Use Manual Adjustments in Reports:

    • After fixing these orders, use Shopify’s reporting tools to filter out or tag these “free sample” orders to ensure they don’t impact your future analytics. If necessary, export your reports and adjust them in a spreadsheet.
  5. Automate or Simplify for the Future:

    • To prevent this from happening again, reach out to Carro’s support team to see if they can modify how Flip orders are processed or tagged when sent to Shopify. Alternatively, check if Shopify Flow (if you’re on Shopify Plus) or another app can automate tagging or adjustments for orders processed through Carro.

Why Refund Works:

By refunding these orders, Shopify’s system will treat them as zero-revenue transactions, and your financial and sales data will adjust accordingly. It won’t affect your fulfillment or inventory since the orders are already marked fulfilled.
