Integrating Shopify E-commence with Quickbooks Desktop concerns

I have built an online shop on Shopify and am trying to figure out how to integrate it with my existing inventory POS Quickbooks Desktop. I've found a few apps that for a monthly fee will do this, but I am nervous about what exactly happens if I were to sync my inventories. I have product information, details and photos, that I have entered into Shopify but are not in Quickbooks, and visa versa. We have over 200 products and a total of 1000 plus variants, its a lot of data and I don't want either system overriding information form the other. Does anyone know step by step how a inventory sync works? Does it simply change the quantity based on the SKU number or is there more to it than that? I would use Shopify POS system to negate this problem but we already have equipment for Quickbooks POS on a desktop computer and from what I've read the Shopify POS system doesn't work on computers, only apps on mobile devices. Thanks!

It would depend on the specific app. I would imagine most would give you options for whether to sync in one direction, the other direction, or both directions. As well, they should give you the ability to map fields in QB to fields in Shopify and to choose which fields not to sync.

I am looking at Ecommerce Sync by Webgility. It makes sense that they would let you select specific fields to sync as you pointed out, I have no clue how any of this works honestly. I have never done any website design, programing, coding, or really anything computer wise besides the basics, so I really appreciate any information or advice on this.

Hi BHRegan, Checkout CartSpan for integrating QuickBooks POS with Shopify.  It does the basic work of updating stock and is much less expensive than Webgility.  Linkage between the two systems is the QuickBooks POS Item Number in the SKU field of the Shopify Item.

Does CartSpan import orders both ways? When we open up our brick and mortar again, we will be using the QB POS to checkout, but still using the Shopify for online orders. We need a solution to update inventory on both sides whenever an order goes through.  Inventory sync is really the only thing we absolutely need right now from Webgility and we just can't justify the monthly fee.

CartSpan will reach out to your Shopify store every 15 minutes (or on demand) to import orders into QB POS.  This import from Shopify reduces inventory in the POS system.  When you sell something in your 'Brick and Mortar' store, CartSpan will detect it within 60 seconds and push updated inventory availability to Shopify for that item.  CartSpan also detects stock receipts and inventory adjustments as part of this process.

Did you ever look into Webgility?  I have the super expensive version for Quickbooks POS, and it works for the most part, but  I am having a hard time justifying $4k annually on it.  I would be happy to chat with you about it. ellen@crazyforewe.com

We use Shoplink Integrator and it works great. We create our items in Shopify and pull them down into QB POS so there isnt double work. Then we recieve inventory in QB POS and the qty is updated to Shopify. Also web orders are brought down into QB POS so that POS always has correct qty and the qty of items is synced up to Shopify every 10 min or so. This way as you make count adjustments, stock take, vouchers, sales in QBPOS, layaway in QBPOS and all of that, the qty for the items syncs back up to Shopify. Additionally as you pull web orders into QBPOS you can mark them to create either a sales order (if say it's a layaway) or a sales reciept if its a completed order....we use both.

Hope that helps, I have had it a long time so on a old pricing plan but I think currently it's around $90/mth.

Hi Stephen,

We are also using Shoplink Integrator but have issues with the way sales receipts get shared into our QuickBooks Desktop software. Problems arise specifically when discounts are applied to an order. Do you use QuickBooks accounting software and, if so, has this been an issue for you? We have worked with Dan in customer service and he's been great but we aren't sure how to navigate this. 

Since you are using Shoplink Integrator successfully, perhaps you can advise?
