Assistance Needed: Issues with Orders, Sales, and Inventory Management

We are encountering several issues with our Shopify store that are affecting our ability to manage orders, sales, and inventory accurately. Here are the specific problems we're facing:

  1. We typically receive around 10 orders daily, with a total amount of $100. However, today, the sales amount displayed is only $40, and sometimes it even shows a negative value.

  2. When we cancel a sale or process a return, the amount does not subtract from the total daily sales as expected.

  3. We are unsure how to handle situations where a customer orders two items, cancels one, and requests delivery of the remaining item. Specifically, we need guidance on how to correctly adjust the sales amount and inventory in such cases.

Could you please guide us on how to manage these issues effectively? We would appreciate any advice or instructions you can provide to ensure that our sales data and inventory are accurately reflected in our store.

Hey Kudos,

Heddy from Gameball here.

First off, if your sales amounts are showing up incorrectly (like that $40 instead of $100 or, worse, negative values), it might be a glitch or a reporting issue in Shopify. Double-check if there’s a bug by reviewing your orders in the Orders section, or consider reaching out to Shopify Support to see if there’s a technical issue at play.

For the returns and cancellations not adjusting your totals, that’s another red flag. Normally, when you cancel an order or process a return, Shopify should automatically adjust your total sales and inventory. Make sure you’re following the correct steps for cancellations and returns, like fully canceling the order through the order details page. If it’s still not working, you might want to audit your settings or even try using an app that offers more advanced reporting and inventory management features.

Now, regarding the scenario where a customer orders two items but cancels one, here's a simple approach:

  1. Go to the order and click “Edit.”
  2. Remove the item they’ve canceled, and confirm the changes.
  3. The sales amount should automatically adjust, and the inventory should be updated to reflect that one item is back in stock.

For more complex situations like these, it might be worth looking into an app that specializes in returns, exchanges, and inventory management. They can give you more control and better reporting than Shopify’s default tools.

If things still aren’t lining up, I’d recommend doing a manual reconciliation of your orders and inventory at the end of each day until the issues are sorted out. It’s a bit of extra work, but it’ll help you keep track of things until you can pinpoint the problem.

Hope this helps 🙂
