I have just reported a bug in the auto-receive behaviour of Purchase Orders; it occurred when there was a shortfall in stock actually received.
The linked Transfer was adjusted to show this shortfall and correctly records the stock quantity actually received.
However, the Purchase Order was then automatically received, BUT it received the amount of stock ordered, and not the quantity of stock actually received on the transfer.
A live Support Advisor has confirmed that:
“the auto-receive behaviour on PO #PO33 / T0165 is not expected, and I’ve logged this with our product team with the full details”.
However, I was also advised that:
“Bug reports go directly to the product team, and while there isn’t a public tracker to follow progress, posting on the Shopify Community forums is a great next step. If other merchants are seeing the same thing, it adds real weight to the report and the product team actively monitors those conversations.”
SO, if you are / were a Stocky user, and are now using the Purchase Order facility in Shopify Products, and have been updated to the new ‘linked transfer’ system, please be aware!
Look out for this bug and please report it straight away if you experience it. For all of us. Thank you!
When goods arrive count the physical stock and check the supplier invoice or packing slip note the actual quantity received.
Update the transfer with only the actual received quantity and clearly record any shortage
If Shopify automatically marks the purchase order as fully received ignore it and treat it as a bug
If possible manually adjust the purchase order received quantity to match the actual stock received If not proceed with inventory adjustment.
Reconcile inventory by comparing physical stock transfer records and purchase order data fix any differences using manual adjustments
Keep proper records of each case including PO number transfer ID actual received quantity and screenshots if availableReport the issue to shopify support and also post it in the shopify community especially if it happens repeatedly.
Thank you Dave_tech
I did all of that at the time, dont worry.
I have attached screenshots - the problem was the transfer accepted the shortfall (at least it shows it did it separately), there was no option to just accept the 66 that were actually delivered.
I did not see the missing 6 showing on the time of accepting the transfer - they may have been listed seperately underneath, I doubt it.
So I cannot prove one way or another if they could have been rejected, but this should clearly be possible for future PO transfers.
Best wishes
Emma
