Collaborator access for specific orders and products

Topic summary

Goal: Give a collaboration partner real‑time, self-serve visibility into orders and revenue for only their specific products in Shopify, without exposing the rest of the store.

Current limitation: Shopify admin permissions cannot be restricted to specific products or orders. Prior approach was periodic (monthly/quarterly) reports; collaborator now requires a live login-based view.

Options proposed:

  • Build a custom dashboard using the Shopify API (developer interface) to display live order/revenue data filtered to the collaborator’s products/collection.
  • Explore third‑party apps that can provide scoped, real‑time reporting.

Tried and not sufficient: Uppromote, Affiliately, and Refersion did not meet the requirements (no suitable per-product restricted, live view).

Additional context: Products can be grouped in their own collection for filtering, but access scoping to that collection in Shopify admin is not supported.

Status/outcome: No confirmed solution in-thread. Another participant asked if a solution was found for a similar small marketplace transparency need. The discussion remains open, with requests for alternative app recommendations or confirmation that a custom build is necessary.

Hi All,

We are an online retail business using shopify, who does collaborations with influencers and celebrities, whereby we create bespokeproducts in collaboration with them. We have one request which has recently come up from one of our collaborator partners who is looking for ‘complete transparency’ on the amount of orders which take place for the products we sell under the collaboration via shopify. How we have handled this previously with shopify is to generate reports for our collaborators on a monthly/ quarterly basis of the orders generated under the collaboration partnership, but this collaborator partner is looking for something different, whereby they can literally login somewhere and see the amount of orders and revenue due to them live. We are 100% fine with this conceptually, however, we don’t see how to implement this with shopify, or whether it’s possible? We’ve looked at adding her as a user with limited permissions (i.e. set to orders/ products limited only to those created under the collaboration - so they do not have access to anything outside of the collaboration) but it doesn’t appear that shopify allows such user access?..

Any ideas would be much appreciated here as to how to give our collaborator partner the kind of access they are after. Thanks community!

Hi @robbieboy123

Thanks for reaching out with your request for real-time access to order and revenue data for our collaborative products.

Currently, Shopify does not support user access restricted to specific products or orders. However, we are committed to providing the transparency you need. Here are a couple of options we could explore:

  1. Custom Dashboard: We could develop a custom dashboard using Shopify’s API that you can log into to see live data specific to your collaboration.
  2. Third-Party Apps: We can investigate third-party apps that might offer the functionality you need.

We appreciate your patience and are eager to find a solution that works for both of us. Let us know if either option sounds suitable, or if you have any other suggestions.

Best regards,

Thanks ProtoMan44. In terms of apps we have looked at Uppromote, Affiliately and Refersion and none of these apps work for what we require. To recap, normally when we run a collaboration with an influencer or celeb they are okay with us sending reports of orders for the products sold under that collaboration on a quarterly basis, which we do via shopify reporting. However in this case the third party wishes to have access themselves to login somewhere (either an app or shopify) to see what orders have been placed on the specific products falling under the collaboration (which we would create as products and set up in their own collection). Any other App ideas would be much appreciated. Thanks!

Hi Robby,
Did you finally find a solution ? I have exactly the same need as yours.
My goal is to work as a small market place for a niche market ; but my clients request a complete transparency which is 100% understandable.

Best,
Gigi
