Dashboard data lag and Report Issues

Currently running Shopify reports after the last weeks “outage” and noticed everything is corrupted. Orders showing on the Home Dashboard page do not add up to the actual orders processed. The Total sales report is completely incorrect , it’s lie it is not even reading real time data. The issue around RETURNS remains unresolved , currently processing a return will result in the amount deducted from the daily sales , apparently offset against the original sale , this is not what is happening and is continuing to cause under reporting to a point where no data on Shopify is worth anything!!

Further investigation shows missing orders in the Orders data even when “All Locations” are selected. When orders do eventually start to catch up they remain behind the actual orders processed. Sales data under Total Sales is also calculated incorrectly , Gross Sales also have significant data issues with incorrect taxes(VAT) .A total mess!!

This sounds like a Shopify reporting/data sync issue after the outage, not something caused by your store setup.

I’d check these first:

  1. Use Orders export as the source of truth

    Compare the affected date range against your actual processed orders/payment gateway.

  2. Check Finance reports separately

    For VAT, gross sales, returns, and payouts, compare Analytics with the Finance/Payments reports.

  3. Collect examples

    Note 3-5 missing/incorrect orders with order number, time, location, and sales channel.

  4. Escalate to Shopify Support

    Ask them to confirm if your store is affected by a post-outage analytics/reporting delay or backfill issue.

For now, I would not rely only on the Home Dashboard for reconciliation. Use Orders export + Finance reports until Shopify confirms the reporting data has fully caught up.

I would treat the Orders export and Finance/Payout reports as the temporary source of truth here, not the Home dashboard.

A practical way to debug this is:

  1. Pick one affected day.
  2. Export Orders for that date range.
  3. Compare order count, gross sales, refunds/returns, tax, and net sales against Analytics.
  4. Save 3-5 specific order numbers where Shopify Analytics disagrees with Orders or Payments.
  5. Send those examples to Shopify Support and ask whether your store is still affected by a reporting backfill/data sync issue after the outage.

For reconciliation, I would avoid using the Home dashboard until the delayed/missing data catches up. It is useful for a quick view, but not reliable enough when orders, returns, VAT, and finance reports disagree.
