Drowning in excel / spreadsheets

Hey everyone!

I’m a small business owner here in Austin, and I’m wondering if anyone else is drowning in spreadsheet chaos like I am.

When I first started out, Excel felt like my best friend - simple, straightforward, got the job done. But as things have grown, I’m running into some real headaches that are honestly keeping me up at night:

  • My inventory counts keep coming up wrong (and I have no idea where the disconnect is happening)

  • I’ve got cash tied up in products that just aren’t moving

  • Somehow I keep missing when popular items go out of stock

I know I’m not the only one dealing with this stuff, so I’m curious - what’s the one spreadsheet struggle that makes you want to pull your hair out the most? Is it trying to forecast what you’ll actually need? Keeping track of inventory counts? Managing purchase orders? Updating product listings? Or maybe something completely different that I haven’t even thought of yet?

And if you’ve found anything that actually works - whether it’s a template that saved your sanity, a workflow that clicked, an app that was worth the money, or even just a clever little script - I’d love to hear about it.

If you ever expand to managing multiple Shopify stores, you might want to look at Tipo Multistore Inventory Sync – it keeps inventory perfectly in sync across all stores so you don’t have to juggle spreadsheets.

For a single-store setup though, tools like Stocky by Shopify or Inventory Planner may be more practical for forecasting, low-stock alerts, and purchase order tracking.

Oh I feel this one. I started out tracking everything in spreadsheets too — they work great until you realize you’re spending half your week chasing mismatched numbers.

For me, the worst part was realizing I had products going out of stock without noticing. That’s what finally pushed me to build a tiny tool called Elevix: Low Stock Alert — it just emails you once a day with a quick list of anything running low, so you can reorder before it becomes a problem.

It’s been a sanity saver for me and a few other small stores. Totally agree though — spreadsheets are amazing until they quietly turn into your biggest risk!

Unfortunately the Shopify reports suck when it comes to these things and I dont think there is one app to rule them all when it comes to this stuff..

If your inventory counts are wrong then no app can help with that. Sounds like it could be an issue in your warehouse or similar, but obv I don’t know.

If some products or product categories aren’t moving, you can check Portfolytics, use it 60 days for free, and then cancel it :slight_smile:

For out of stock products, there should be plenty of apps to warn you when they are about to be sold out?

My number one enemy when I was still an ecom manager was probably product data that just took about third of my time even though we only had about 1000 products.. We eventually bought a fancy system to manage it all.

@Portfolytics’ point above about product data eating a third of the week is real. If updating product listings is part of your spreadsheet chaos (bulk edits, metafields, metaobjects, media), Peak PIM is a Shopify-native PIM built exactly for that. Worth a look if that piece rings true.
