Feature Request: Improve Self-Serve Returns for Merchants

Shopify really needs to improve Self-Serve Returns.

Right now, it doesn’t fully solve the returns workflow, and it’s missing some critical features.

The biggest issue is that merchants can’t customize return reasons or require additional information based on the selected reason.

For example, a customer selects “Wrong color received,” but there’s no way to require them to upload a photo. We then have to reach out by email, which creates unnecessary friction—and many customers don’t even check their email promptly.

Relying on third-party return apps isn’t a great solution either. I’ve tried several, and I still haven’t found one that works reliably without introducing other issues.

I noticed that Shopify recently added the ability for customers to submit cancellation requests through Self-Serve Returns, which shows the product is actively being developed. That’s great—but the highest priorities should be:

  • Allow merchants to create, edit, and customize return reasons.

  • Allow merchants to require photo uploads and/or written explanations for specific return reasons.

  • Make these requirements conditional based on the reason selected.

  • Add an “Additional Information Required” action alongside Approve and Decline.

That last feature would be incredibly valuable. Sometimes customers upload blurry, irrelevant, or incomplete photos. Right now, the only options are to approve the request or decline it. Instead, merchants should be able to request additional photos or more information without closing or rejecting the return request.

These improvements would reduce unnecessary back-and-forth emails, streamline the return process, and create a much better experience for both merchants and customers.

Please give Self-Serve Returns some attention. It has a lot of potential, but in its current form, it’s still missing the features that merchants need to use it as their primary returns solution.

Hi @twecoop Completely agree with this. The current Self-Serve Returns workflow feels half-finished for real merchant needs.

The conditional logic point is especially important — requiring a photo only when a specific return reason is selected (like “wrong item” or “damaged”) is a very basic feature that most dedicated return apps offer, and it’s surprising it’s still missing natively.

The “Request More Information” action is also a big gap. Right now being forced to either approve or decline when a photo is blurry or missing context creates unnecessary friction and sometimes leads to wrongly approved returns.

I completely agree that return reasons should be fully customizable by the store. The store should be able to define the reasons, and based on each reason, the option to require images or additional descriptions should be configurable.

Also, instead of rejecting unclear or irrelevant photos outright, it would be much more effective to use an “Additional Information Required” step. This would allow customers to re-upload better photos directly within the return timeline in the order status page, rather than relying on email. This would significantly speed up the resolution process.

Honestly, I’ve tried almost every third-party app out there, and none of them work properly. Shopify’s Self-Serve Returns feature is good, but it still has major gaps, so it doesn’t fully solve these issues.

I really hope these suggestions are taken into consideration and improved in future updates.

That is clear, the kind Shopify tends to act on since you named the exact gap and fix .
In the meantime, since you have already tried third party apps, mention what went wrong when you post, since others might suggest one that handles this better.

As a small workaround, you could add a required notes field to your return flow and set up an automatic email asking for photos when a specific reason, like the wrong color, is selected.
Not perfect, but it removes the manual step of chasing customers yourself.

I’ve experienced several issues with third-party applications, such as notifications going to spam folders, broken widgets, emails not being delivered, and unrelated or unhelpful support. I’m not the only one facing these problems—many others seem to be experiencing them as well.

At this point, I’m no longer looking for temporary fixes or third-party workarounds, as I’ve already tried them all without success.

What matters most to me is that, since Shopify already offers built-in features like Self-Serve Returns, these basic and essential functions should also be reliable and properly integrated. Temporary solutions don’t really add value; in fact, they often only make things more complicated and less functional.

My goal is simply to bring attention to this so that Shopify can consider improvements and updates in this area.

Agree on the gap here, especially conditional fields linked to return reasons. A practical workaround I’ve seen used is to tighten the structure of return reasons and funnel everything into one needs review return state, and then utilize Shopify Flow to send automated email requests for photos when specific reasons are chosen. You can also reduce friction and increase conversion by embbedding a return portal form (using metaobjects or a simple app layer) that captures images before the return is submitted, rather than after. Not ideal but it helps close the loop for now for native conditional inputs are expanded.
