How do you keep track of multiple stores with multiple emails etc?
Topic summary
A merchant is struggling to track multiple Shopify stores, each with different email addresses, and has become confused by the complexity.
Proposed Solutions:
-
Low Stock Alert App: Configure alerts to send notifications to a single monitored email address across all stores, helping manage inventory tracking without juggling multiple logins.
-
Shopify Store Recovery Tool: Use Shopify’s official tool to identify which stores are connected to which email addresses, then set up multi-store login via the Shopify app for easier access.
-
ToolsForShop Multi-Store Dashboard: A zero-code solution that connects all stores through OAuth, providing a unified dashboard showing orders, inventory alerts, and customer data with instant store switching and centralized notifications.
-
Google Sheets + Zapier/Make.com: A low-code approach that automatically logs store events (orders, inventory, customers) into a master spreadsheet with filtering, pivot tables, and daily email digests.
Status: The discussion remains open with multiple viable solutions offered. The merchant acknowledged the complexity but hasn’t indicated which approach they’ll implement.
Hi Beverly,
It would help if you can provide additional context on this question but I have made an assumption here that you might be struggling to manage different stores and these stores are created from multiple email addresses which I understand becomes a daunting task for tracking daily basis.
My solution might not solve the problem completely for you but it might solve a good percentage of your daily mundane task.
In such a setup, a Major problem we have seen over time is merchants struggle to manage their Inventory and keep a tap on products that are going out of stock or low stock.
This problem is solved easily by creating alerts on low stock alert app
The interesting part is you can configure a single/multiple email/s (Which you track on daily basis) while setting up alerts. Refer to below screenshot for reference.
Hope this would solve some part of your problem.
All the best for your business ![]()

Thank you. I think that will definitely help in the future. But yes, too many email addresses and probably too many stores. I have definitely confused myself lol!
Yes, I completely understand. Businesses tend to grow complex over time. Anyways wish you luck in your journey.
Hi there, @bev .
I can definitely understand that having multiple stores, and multiple email addresses for them can definitely get confusing! I have a couple of ideas that might help to streamline things for you.
Firstly, we need to know exactly which stores are connected to which email address. We have a really useful store recovery tool here that will help to clean this up - when you input an email address, it will return every store connected to this email address. Once you have gathered all the stores, you can then set up muti-store login from your Shopify app. This help doc walks through how to this up. I hope this helps to make things a bit easier for you!
Here are two ways to centralize management of multiple Shopify stores (each with its own email/login):
1. Zero-Code: ToolsForShop Multi-Store Dashboard
-
Install ToolsForShop in each store.
-
In your master ToolsForShop account, go to “Stores → Connect New Store” and authorize each store’s credentials (it handles the OAuth flow, so you don’t need to juggle passwords).
-
Once connected, you get a single Multi-Store Overview showing:
- Store name & domain
- Active orders
- Low-stock alerts
- Customer tags & segments
-
Switch between stores instantly from the dropdown—no logging out/re-logging in.
-
Notifications: Configure email or Slack alerts per store for new orders or inventory thresholds, all managed in one place.
Pros:
- One dashboard for N stores
- No extra coding or spreadsheets
- Centralized alerts & reporting
2. Low-Code: Google Sheets + Zapier/Make.com Integration
-
Zapier Setup (or Make.com) for each store:
- Trigger: “New Order” (or “Inventory Low”, “New Customer”)
- Action: Append a row in a master Google Sheet with columns: Store Name, Order ID, Customer Email, Timestamp, etc.
-
In your Google Sheet, add a “Store Selector” dropdown so you can filter by store. Use built-in filters or pivot tables to get summaries (e.g., orders per store per day).
-
Email Digest: Use Zapier’s Digest action to send you a daily summary email for all stores, grouped by store name.
-
Access Control: Share the Sheet with your team; you can control who sees which tabs via protected ranges.
Pros:
- Full visibility in a familiar spreadsheet
- Customizable reports and digests
- Works even if you run non-Shopify stores
Which to choose?
- If you want a fully managed, Shopify-native experience without any setup, go with ToolsForShop’s Multi-Store Dashboard.
- If you prefer total flexibility or need to pull in data from non-Shopify sources, the Zapier + Google Sheets route will give you a single source of truth with minimal code.
