How to identify dormant user (employee) accounts?

Hello,

We are looking for a way to get a report to identify dormant staff accounts. For example → All staff accounts that have not been logged in, in the last 30 days. In essence we want to get a report for our internal controls as well as satisfy external auditor requirements.

We have been told this is not possible, but wondering if anyone has found a workaround or the likes?

Any input appreciated.

You can just go into the staff account settings page (admin > settings > users), and it’ll list the last time each staff member logged in.

There’s no way to get an automated report for this though.

We took another look and unfortunately that wont work for us, since via this method, we need to :

  • Access each user account

  • For each user, check each store they have access to.

  • For all of our users (we have a lot …) we would then need to determine the most recent login for all of the stores they have access to.

This would take many hours every month.

If you have many staff, with many Shopify stores, then it might be worth looking into creating a Shopify Partners account, and then adding the staff members to the partner account, rather than to individual stores.

It might help with consolidating and managing which stores the staff member has access to, all from one place. I’m not 100% sure which kind of data you’d have access to doing it this way, but it still might be worth testing out.
