You could use order metafields but I’m not sure it would suit your needs completely. When you say colleagues do you mean the store staff or customers’ colleagues?

Well order metafields perhaps make more sense because it’s data attached to the order, so a bit more ideal for post-sale issues. The problem is that I don’t know if there are apps that would allow the customer to directly upload files and store them in order metafields, after the sale, like on the ‘Thank you’ page or similar. An alternative would be the customer sending you the video or link by email, and you storing it in the order metafield so all of your staff can access the videos later when checking the orders in the Shopify Admin.
Another alternative would be customer metafields, instead of order metafields. In this case, this data is not attached to the order, but to the customer. For this there are apps, like the one in my signature, that will allow the customer to upload the files or sending the links directly using forms that you can install on the account page. This data is stored in customer metafields.
To clarify, customer metafields appear within the Shopify Customer dashboard, similar to how order metafields are displayed. They can be viewed and edited in the Shopify Admin
