Needing automation for customers confirming shipping info.

Our products are made to order and take on average 8 weeks to make. We have found with experience that we need to call and confirm shipping for each order as they are freight and need to make sure the address is correct and the customer hasn’t moved or isn’t on vacation. Otherwise the shipment is returned and it is very costly. This takes up hours of manual work. Is there a way we can time an email or some type of trigger survey that goes out and they have to confirm shipping and then they send it back? or they see the current shipment info approved or edit and then we are notified so we can ship? Im looking to automate this. We use Klaviyo for our emails.

you can send a form to your customers on the order confirmation email or a post purchase email asking them to confirm the shipping. and you can have a dashboard separately to show which to send and which not.

I would suggest the following probable flow via a Building Custom App:

  1. Let your staff do initial scanning of the order or use autopilot mode for sending email confirmations. Since it takes around 8 weeks for production, I recommend manual intervention at some point. When you’re sure to proceed with the order, the custom app should include a feature to send an email to the customer with the following details:
  • Shipping Address
    - Estimated Delivery Date
    - Phone Number

Additionally, there should be the ability to edit these details. If customers want to make changes, a page should open with email-based OTP authentication to update the order information.

  1. The customer app should have a feature to update the email content.

  2. I also suggest installing an app that restricts or flags orders with PO box addresses.

  3. If you’re looking for real-time shipping rates at checkout for better estimates, I recommend trying Fare Freight. This app is designed for AU-based freight carriers and is expanding to the USA/UK.
