Purchase order fields

Topic summary

A non-Plus Shopify store owner is frustrated that purchase order (PO) fields—specifically supplier SKU and cost—must be manually entered for each variant rather than auto-populating from existing product data.

Key Issues Identified:

  • No built-in auto-population of supplier information on POs for non-Plus stores
  • POs are not automatically emailed to suppliers; users must download PDFs and send manually

Suggested Workarounds:

  • Store supplier data in product/variant metafields (though Shopify’s PO system doesn’t pull these automatically)
  • Use Shopify Flow to automate PO emails (requires Advanced plan or higher)

Resolution:
The original poster confirmed they have an Advanced plan and will explore using Flow for email automation. The manual data entry issue remains unresolved without third-party apps.

Is there anyway to auto-populate fileds on the built in PO?
Having to retype supplier SKU and cost every single time for every single variant is just mind-boggling that it’s not connected to a standardised field.

Question asked from a none Plus store.

I know there are tons of apps, but let’s say for discussion sake we dont’ want to add another app.

Question 2, when creating a PO, shouldn’t it be mailed automatically? We can’t get mails out, but can’t believe the idea is that we have to create a PO, download a PDF and mail it manually like it’s 1999.

Hi @Zeuligan

Unfortunately, for non-Plus stores, there’s no built-in way to auto-populate supplier SKUs and costs without using an app. So, here are some workarounds I’d recommend for you:

  • Use Metafields. If your supplier SKUs and costs are stored in product/variant metafields, you might be able to reference them when generating POs (though Shopify’s PO system doesn’t pull these by default).
  • Automating emails. By default, Shopify doesn’t auto-send POs to suppliers. If your store supports Shopify Flow (available on Advanced plans), you could create an automation to trigger an email when a PO is created. Otherwise, manual emailing is the current limitation.

Hope this helps :slightly_smiling_face:
