Reviewing orders before they are accepted

Hello,

we want to be able to receive B2B orders but being able to check them first before they become an “order”, as once this happens an invoice is created, and the value of the purchase is already registered into shopify.

We still need to be able check if the order is correct and if we have enough stock to fulfil the order. We tried to use the “drafts orders” but our external stock management app cannot read the values in there so we cannot assess the stock.

Is there a solution that could help us change the status of an order? For example, that once it an order is placed by a client it first has to be checked and accepted and the status changed to “accepted” and only then it creates an invoice. This is a solution we imagined, but the solution does not have to work exactly like this.

It is possible to manually capture order payments in order to have more control over them.

If you have configured your settings to capture funds manually, then you won’t receive money from orders automatically - allowing you time to check the order, ensure you have the right inventory, and only accept payment for the order once you’re happy to do so.

Could you maybe place a test order on your store using this set-up to check that this would work with your external stock management system?

If this doesn’t help, could you please walk me through what you’re looking to achieve (perhaps with a specific example) and provide me with as much context to your business as possible? I’d like to know what you’re selling, who you’re selling to, and what your business model is in order to better help you!

You might also be pleased to know that being able to check your order before accepting payment protects you from potential fraudulent orders! It allows you to review an order to check for anything suspicious.
