Staff Permission - prevent from Mark As Paid

Hi All,

I’ve recently added a staff member to our Shopify Account and I want to give her permission to create Draft Orders but avoiding her to be able to Mark As Paid.

At the moment anyone with the permission to create drafts can mark it as paid, this way the staff can ask the potential customer to pay to a private account (here in Kenya everyone has a mobile payment system and it’s really common that clients ask to pay this way rather than using the normal check out), and by marking as paid she can cash in money without he company noticing it.

Hi @Roberto47 !

Thanks for reaching out with your question! I understand that you would like to be able to have more customizable permissions for staff so that they can work on draft orders but be unable to mark an order as paid.

While this is some great feedback, at this moment in time the limiting of permissions in such a way is not yet possible, however it is possible in future this feedback may be looked into further. That’s why I have noted this with our developers for review for you.

Thank you for your prompt reply Maz, and thank you for keeping this issue as a possible update for the future.

In the meantime I found a quick way to temporarily overcome this issue, and maybe could be interesting to other people with the same problem.

In each sales notification that we receive on the email (you can set sales notifications to be directed to many different email address) we can see whether the payment has been done through the online payment system or manually (Mark as Paid).

If it’s the latter then I just have to confirm that that particular payment has been credited to the company account. If not (or if the staff cannot give proof of payment) than it may be an internal issue. Still not a strong solution but it works for the time being.

Thanks for your response @Roberto47 !

You are most welcome, and I am happy that you have provided this feedback in order to help improve our platform. I also wanted to thank you for providing this extra information, which may help other merchants in your position, too. For now, I am going to leave you a link to our Shopify Changelog here. You can keep an eye on any new updates for this, along with other platform updates or features.

If there is anything else you need or would like to discuss, don’t hesitate to respond here. Enjoy the rest of your week!
