Stock Control Via Weight Over Amazon, Etsy and Shopify

Good evening Ladies and Gents,

Please bare with me as i may be asking such a simple question but were new to the ecommerce world and as things are starting to take off were starting to struggle with one main issue… stock control!

Sio basic overlook of the business its an online loose leaf tea business…

we stock tea in 125g and 250g options and sell over amazon, shopify and etsy…

My two questions are this…

  1. as we only bag up the teas in the quantities required (not a load of 250g and a load of 125g bags we would need something that would keep stock levels correct by weight so for instance… if we had 1kg of tea for example if someone ordered 125g it would deduct it trom the total stock weight and so on?

  2. is the above possible on a platform that would work over the three platforms simultaneously

If the source of truth is before any other platform is involved that often means you need an ERP service, or an inventory process to pool inventory and adjust stock based on the other platforms inventory feed/api.

If the other platforms pull inventory from shopify look at any of the numerous inventory sync apps.

Hi there many thanks for the reply, it will pull the information from Shopify but I’m needing one that will do it by weight and deduct it depending on what weight pack they order if that makes sense

The main complication there is shopify’s product model does not have a unit based concept, by the measure, by the yard etc.

So if your NOT treating every 1gram as 1 inventory as 1 quantity … this narrows your options of off-the-shelf solutions.

Meaning you will most likely always have to have some sort of customization done to whatever process is chosen to do that conversion as some point in the process to deduct/convert the order-weight from a total-weight stock (instead of N-quantity) .

Thank you so much for your excellent responses Paul, I Dont have any problem in paying for customisation. I in all honesty wouldn’t have a clue where to get said person to carry this out, I’m assuming your meaning a Shopify expert or is this a different type of expertise I need to find

If shopify has the inventory/quantity/stock data the other platforms pull the from then a shopify expert or partner like myself.

They’d mainly need to know what 1 quantity represents weight wise per product or the overall business logic for varying products.

For example if you need automation to deduct inventory for each order using mechanic then contact me by my email for services.

Meanwhile if the info is on something like an ERP or some other external data source you generally need an expert for that service/platform, or a generalist and possible experts/consults for all involved platforms needing integration. It’s a process if you can’t find some made to purpose software.

If you need the inventory quantities synced across Shopify, Etsy and Amazon, then you need to track your inventory with a 3rd party solution (like an ERP) that integrates with all 3 platforms. That 3rd party solution will act as a source of truth for your inventory and it will keep all other platforms in sync with each other. I’m not sure if such a 3rd party platform exists however.

We have a Shopify app that allows merchants to track inventory by weight. One of our customers actually also sells tea. Our app doesn’t sync with Amazon or Etsy however. It’s called Fusion Inventory. Here is the user guide if you want to take a look at it. The example on selling coffee by weight may be the most applicable example for you.

Managing your inventory by weight in Shopify is simple with the Easify Inventory Sync app. However, if you also need to sync inventory with other marketplaces like Amazon or Etsy, you might need an additional app to handle that integration.

Here’s a suggested approach using the Easify app :blush: :

  1. Create a Base Product: Start by creating a Base product to track your total inventory (e.g., 10kg/10,000g). This will be a Draft product that exists only in Shopify’s admin for inventory tracking.

  2. Set Up Bundle Groups: Create bundle groups to connect each of your weight variants with the Base product. For example, for a “125g bag” variant, you would set up a bundle group as follows:

    • Master Product: “125g bag” variant
    • Component Product: The Base product, with the Quantity per bundle set to 125

    Repeat this process for each weight variant of your product.

  3. Results:

    • The available quantity of each weight variant will be automatically calculated based on the Base product’s inventory.
    • When a weight variant is purchased, the corresponding amount will be deducted from the Base product. Then, the app will then recalculate the available inventory for all weight variants, ensuring accurate inventory management.
