Tracking inventory for whole product and each variable is worth a different value

I sell scrunchies and on my website the main products are the colors of scrunchies and then each color has variables for the size of scrunchie. For example my page is all the different colors I offer and when you click on whatever color you want you can then choose mini, regular, or jumbo. When I cut the material for the different sizes I cut 4.5 inches wide for jumbos, regulars are 3.75 inches wide, and minis are 3 inches wide. I want to be able to put in how much material of each color that I have and then when someone orders then have the amount taken away depending on what size they order. So say I have 50 inches of my olive green material and when somebody orders a jumbo scrunchie i want 4.5 to be subtracted from the 50 if that makes sense. I don’t make anything in bulk it’s all made after somebody orders so putting in how many scrunchies of each variable I have doesn’t work for me. Thanks!

- SKULabs: Tracks inventory in real-time and has tools to manage material usage for products.

- TradeGecko (QuickBooks Commerce): Manages and tracks inventory based on specific parameters like fabric usage.

thanks for the suggestions but they are out of my price range. any that you know of that are cheaper/free?

Hi @Sunshinepine , our app Material Manager does what you are looking for at a lower price. We also offer a limited free plan that works for some smaller stores.

This app will let you enter a material for each colour and then assign it to product variants. Allowing you to set how much of the material each product variant will use.

When an order comes in the raw material inventory will change in the app and the Shopify inventory for each variant will be updated to match the maximum you can produce with the remaining materials.

You might want to consider using the Easify Inventory Sync app, which lets you connect your product variants with your base inventory effectively :blush: .

However, Shopify doesn’t support decimal quantities like 3.75 and 4.5, so it could be more manageable to convert your measurement unit for inventory tracking to a different one and then round up. For example:

  • Mini - 3 inches => approx. 72mm
  • Regular - 3.75 inches => approx. 95mm
  • Jumbo - 4.5 inches => approx. 114mm
  • Total - 50 inches => 1270mm

If you agree with the conversion, here’s how you can set up inventory tracking using the app:

  • Create a Base product for Olive color with an inventory of 1270.

  • Use the app to create 3 Bundle groups to connect each Olive Scrunchie size variant with the Base product (Olive color). For example, create the bundle group “Olive - Mini” to connect the Base inventory with the Mini size, including:

1/ Master product: Mini size variant

2/ Component product: The Base product you created, with the quantity per bundle set to 72.

Similarly, create Bundle groups for the other size variants.

Here’s what you can expect:

  • The quantity of each size variant will be automatically calculated based on the quantity of the Base product. For example, with a Base quantity of 1270, you would have 17 x Mini, 13 x Regular, and 11 x Jumbo Scrunchies available for sale.

  • When any size is sold, it will deduct a corresponding quantity from the Base product. For example, if a customer buys 1 Olive - Mini Scrunchie, it will deduct 72 from the Base product inventory. After the Base inventory is adjusted, the new inventory will recalculate the available quantity for all size variants, ensuring an accurate inventory update across the sizes.
