How to process offline sales and reduce inventory without Shopify transactions?

Hi All, What is the best way to process this type of order, so that I can keep the sales data / reduce inventory in Shopify, but no payments will actually be processed through any Shopify Channel.

Features of the order:

  • Not online, a private individual contact

  • Payment is not through any of the connected Shopify channel

  • Inventory is being reduced from the Shopify inventory

The goal is to be able to reflect the sale in the sales reports for the exact month, including the items purchased. And, reduce the inventory on the Shopify database. And include the customer data for future marketing. And lastly, not get charged any transaction fee, as another channel is being used.

What is the quickest / best way to achieve the above?

I noticed you are a new member, welcome to our Community forum! Thanks for bringing your question here. I’m happy to provide you with a suggestion for processing this order.

You could consider using our **Draft order **feature. This allows you to run payments through the backend and send invoices to your customers. When you accept a payment, an order is then created for it on the Orders page. To learn more, check out a great tutorial here. Here are the steps you can take to create a draft order:

  1. From your Shopify admin, go to Orders > Drafts

  2. Click Create Order.

  3. Add products to the order.

  4. Customize the order:

    • Add a customer.
    • Apply discounts.
    • Turn taxes on or off.
    • Add tags or a note.
  5. You can accept payment for draft orders by marking an order as paid if you have already received payment.

  6. Click Save to convert your draft order to your Orders list.

This will allow you to keep track of the sale within Shopify, reduce inventory, and avoid transaction fees as the payment was collected outside of Shopify through manual methods.
