What app works best for posting purchase orders in to Xero?

Hi Shopifiers,

About to launch a UK retail outlet (physical and online) and will have circa 100 suppliers for 1000 SKUs so interested how I can best minimise the double handling with Purchase Ordering and my accounting software, Xero.

Ideally, once the purchase order goods are received (via Stocky) this would post a creditor liability into Xero which can simply be checked against the supplier invoice on receipt triggering payment terms and payment etc.

What apps are people using or would recommend to minimise PO double handling and the need for supplier invoices to be manually raised in Xero to duplicate the PO generated in Shopify (Stocky)?

Interested in peoples views and experiences please.

Thanks for sharing, and congratulations on your upcoming UK store launch!

To reduce double work between Stocky and Xero, you’ll need a tool that can connect both systems and automatically move your purchase order info into Xero as bills (so you don’t have to re-enter them manually).

Here are a few good options:

1. DEAR Systems (now Cin7 Core):

It connects with Shopify and Xero. Once goods are received in Stocky, it can create bills in Xero automatically. It’s great for managing lots of suppliers and products.

2. A2X for Shopify:

Mainly used for syncing sales, but it can also help with inventory and financials if set up properly. Very accurate and saves time.

3. TradeGecko (QuickBooks Commerce):

Another tool like DEAR that connects Shopify and Xero and can handle POs, suppliers, and invoices smoothly.

4. Zapier:

If you want something custom, you can use Zapier to link Stocky and Xero, so when a PO is received, it creates a bill in Xero automatically.

If you’d like, I can help you choose the best one based on your setup and help set it up too!

Thanks for information!

Hi there :waving_hand:

Congrats on the UK launch — exciting milestone! :tada: With 100 suppliers and 1000 SKUs, I get why you want to cut down on double-handling between Stocky and Xero.

Some tools worth checking out:

  • A2X or Synder → Great for syncing Shopify with Xero. They help automate sales data and can streamline purchase orders + invoices.

  • DEAR Systems (Cin7 Core) → More of an ERP-style solution that ties inventory, supplier POs, and Xero together nicely.

  • TradeGecko (QuickBooks Commerce) → Useful for centralizing purchase orders and avoiding duplicate invoice entries.

  • Zapier or similar automation → If you want something lightweight, you can set up triggers so Stocky receipts push into Xero automatically.

:backhand_index_pointing_right: My advice: start with one of the lighter connectors (A2X/Synder) and trial it with a small supplier group before scaling to all 100 — that way you’ll see how the flow works without committing to a full ERP setup right away.

If you’d like, I can help you explore which option fits best for your workflow.

Thanks for your thoughts! I will do some further research!
