Shopify lets store owners change permissions based on responsibilities.
Steps to Limit Access to Order Information Only:
Create a staff account:
Navigate to your Shopify admin dashboard.
Navigate to Settings > Users and Permissions.
Click Add Staff (or Edit an Existing Staff Member, if appropriate).
Customise Permissions:
Once the staff account has been added, you will have an option to manage their rights.
Focus on the following order permissions:
Orders: This permission allows you to view, update, and fulfill orders, including order dates, products, amounts, and tracking numbers.
Customers: Optional. If they require access to consumer information related to orders (for example, shipping address).
Reports: If you want them to see specific sales reports, such as the COGS (Cost of Goods Sold) for shipping costs.
Restrict refund permissions.
Refunds are associated with the “Orders” access, although Shopify does not distinguish between viewing orders and processing refunds natively.
Solution: Instruct personnel not to issue refunds or document the process so that refunds must be approved by an administrator or manager.
applications: If an app manages your COGS, shipping costs, or any other unique data, you can restrict access to specific applications or prevent them from having refund authorization.
Check permissions.
After providing access, log in as the staff member and verify the level of access. Check to see if they can access order data without the opportunity to return.
