Payment Type Report

Topic summary

A bicycle repair shop uses Shopify to process draft orders from their workshop software but accepts payments in-store via cash or third-party card terminals, not through Shopify. They’ve configured Manual Payment Methods (Cash, Card, Gift Card) but need a report showing aggregated totals by payment type over a time period, rather than individual transaction lines.

Current limitation: Shopify’s built-in reports don’t provide direct aggregation of manual payment types—they list each transaction separately.

Suggested workarounds:

  • Manual export method: Export paid orders as CSV, then use Excel/Google Sheets pivot tables or SUMIF functions to aggregate by payment method. Free but time-consuming and requires repetition for each reporting period.

  • Payment by Provider report: Can be filtered by “Draft Orders” sales channel and aggregated via pivot table, but lacks date fields in the export—date range must be selected during export.

  • Payment Type Report: Includes date fields but doesn’t specify sales channel, requiring combination with other reports for complete analysis.

  • Third-party solution: Report Pundit app can consolidate this data into a single automated report with email delivery, eliminating manual compilation.

The discussion remains open with no built-in Shopify solution available.

I need a report based on completed sales broken down by payment type. I am using Shopify in a retail setting but without the POS or Retail plan.

We repair bicycles, our workshop software is integrated with Shopify and sends draft orders through for the work and parts that have been used on each job. The customer then pays in-store using cash or a third-party card terminal, so no payments are processed by Shopify.

I have set up Manual Payment Methods, eg Cash, Card, and Gift Card which we select when marking the order as paid; but I can’t find a report that gives the total for all transactions paid with a specific type over a time period. If I take ten card payments then the Payments by Type report lists ten different lines, I just want one line with the total.

Is this possible?

Hi,

This is Richard at PageFly - Shopify Advanced Page Builder app.

You’ve accurately identified the core challenge: Shopify’s standard reports don’t aggregate manual payment types in the way you need. You’re looking for a simple, summed total by payment method, and Shopify’s default reports are too granular.

Unfortunately, Shopify’s built-in reporting doesn’t offer a direct, one-click solution for your specific requirement. You’re right, it lists each transaction individually, which is not ideal for your needs.

However, here are a few workarounds and potential solutions:

1. Exporting and Manual Aggregation:

  • Export Order Data:

    • Go to your Shopify admin, then “Orders.”
    • Filter by “Paid” status and the desired date range.
    • Click “Export” and choose the CSV format.
  • Use Spreadsheet Software (Excel or Google Sheets):

    • Open the exported CSV file.
    • Create a pivot table or use the SUMIF function to aggregate the “Payment method” column.
    • This will allow you to sum the total value of orders for each payment type (Cash, Card, Gift Card).

    Pros:

    • Free and accessible with basic spreadsheet skills.
    • Provides complete control over the data. Cons:
    • Manual process, which can be time-consuming for large datasets.
    • You will need to do this process every time that you need the report.

Hoping my solution helps you solve your problem.

Best regards,

@JammySmears , Shopify provides two payment reports:

Payment by Provider:
Export this report and insert a pivot table to generate a summary of payment methods. You can select the sales channel as “Draft Orders” to view the totals of all payment methods used (see the sample screenshot for reference). However, this report does not have a default date field to filter totals by date in the CSV or Excel file—you must select the date range during export.

Payment Type Report:
This report includes a date field when exporting to CSV or Excel. However, it does not specify the sales channel, though it does include the payment method field.

To view the totals of all transactions paid based on the date, sales channel and payment method you need to compile both reports. This process takes time to segregate and analyze each time you need the data. If you want to save time and simplify the process, consider using Report Pundit, which consolidates all this information into a single report and can even automate email delivery.
