Refunded or Canceled orders showing as Unfulfilled, II

I was again bitten by the Shopify “can’t get rid of unfulfilled status on a refunded order” bug today, and found that the 2020 solution I’d posted here has been completely deleted by Shopify (because they were embarrassed that this problem hasn’t been solved in years after thousands of complaints?). Anyway, I thought I’d repost for other hapless Shopify users who might benefit.


This is a solution I post here once in a while that has always worked for me, though some have not had success with it. Dean’s simplified procedure for getting “partially refunded” orders out of the “open orders” list (based on @Claire_Brennan ‘s):

1. go to “Orders”
2. click on the “Open” button to display the offending orders
3. select all the orders that you need to eliminate from the open orders list
4. Select “More actions” > Unarchive orders
5. Select “Fulfill orders”
6. Select “More actions” > Archive orders...DONE!

2024 update: I notice now that after doing this, the orders in question still show the "unfulfilled" yellow bubble, but if you click the "unfulfilled" filter they don't appear in the list. I'm sure Shopify has a good explanation for this.

Nice workflow for bulk processing if you don’t have any triggers attached to the Fulfill action, and they are all locations you control.

The one’s still showing unfulfilled may actually still be unfulfilled, if that’s the case you can solve that by changing the location to a location that is able to fulfill the product and has inventory.

I’ve seen this, for example, if an order finished but still unfulfilled and assigned to a 3rd party. Since you wouldn’t want to Request Fulfillment to them, you have to change the location of the fulfillment order to a location you control, then you can fulfill it.

Pretty sure if you do that, they won’t contribute to the unfulfilled bubble because they will be fulfilled and archived.

Thanks for the additional ideas on this @JoesIdeas I don’t have a setup anywhere near as sophisticated as what you’re describing here–I just don’t want orders that have been fulfilled and refunded for some reason to be re-fulfilled because they are marked “unfulfilled.”

Thank you for sharing this! It has definitely resolved my issues with the lingering notifications for cancellations and refunds.

I have tried the above solution and for what ever reason it does not work for me. I do not understand their logic.

  • Customer makes an order
  • Customer decides to cancel and asks for a refund
  • Inventory has not been dispatched and order should be fufilled showing - refunded - which can then be archived.
  • Showing ‘unfilled’ causes issues with new staff - who look at incoming sales - prepping those new orders

If inventory has not been dispatched then technically it hasn’t been fulfilled.

But if you want to mark fulfilled you can do that if you control the location.

Did you try changing location? I’ve never seen a case where you couldn’t mark an item fulfilled from a location you control.
