VoIP Phone app that integrates with Shopify customers info (orders/inbox)

Basically had a headache trying to use Aircall, but support is dead, so I thought I ask around.

Need a VoIP Phone app that integrates with Shopify customers info (orders/inbox).

Usability:

to see customer name and order details when he calls

being able to pull up relevant info in real time

ideally also integrates with mail system (gmail) so you see the whole picture of interactions with a customer.

Haven’t tested yet a Swarm app, only has 1 review now… may test it later. Maybe someone already has an app that I can’t find? Anyone really uses Aircall?

Hi @dagoodretail

Hey there! Totally get the frustration—nothing worse than dealing with a tool that doesn’t work as expected, especially when support is MIA. You need a VoIP phone app that seamlessly integrates with Shopify, pulls up customer info in real time, and ideally works with Gmail for a full interaction history. Let’s break it down and get you the right solution.

Best VoIP Phone Apps for Shopify Integration

Here are some solid options that should do exactly what you need:

  1. JustCall – One of the best-rated VoIP solutions for Shopify. It shows customer details (name, order history) when they call and integrates with email (Gmail, Outlook).

    • Key features:
Shopify integration: Pulls up customer details when a call comes in
Gmail integration: Access past email interactions
      Call logging & recording
      SMS and WhatsApp integration
  2. CloudTalk – A solid choice if you need a call center-type setup. Integrates with Shopify and lets you see order details instantly.

    • Key features:
      Real-time customer data from Shopify
Auto-call logging in Shopify and CRMs
      Customizable call routing
      Gmail sync (via Zapier)
  3. Aircall (if you still want to try it) – Some users have had mixed experiences (like you), but it does work for Shopify integration.

    • Issues: Some report laggy integration and poor customer support (which you already experienced).
  4. RingCentral – More of a business VoIP, but with Shopify integration via third-party apps. Not as seamless as JustCall or CloudTalk but still a strong choice.

What I’d Recommend?

:backhand_index_pointing_right: If you want a hassle-free, Shopify-native integration, JustCall is your best bet.
:backhand_index_pointing_right: If you need a call center-like setup, go with CloudTalk.
:backhand_index_pointing_right: If you’re still open to testing Swarm, go for it, but it’s a newer app with little feedback.

Setup Tip: If Gmail integration is a must, check if the app directly supports it or if you need to use Zapier to connect Gmail and Shopify.

Hope this helps! Let me know if you need any extra details.
Thanks,
Daisy.

Hi!

Thanks for coming back though, I’ve went on with something that works best for me personally and happy to share with everyone here.

So the best solution for me right now is - setting up a Zoom Phone.

It does not integrate with Shopify though, so to get all customer info this is what I did.

It seamlessly integrates with Google Contacts.

Use Zapier to send all new and updates of contacts to Google Contacts.

This way if a customer was created - you will see who’s calling.

But yeah, all order history will be separately in Shopify.

But Zoom does more than just a Phone. AI assistant, Summarize call info, Recordings of all calls and multi-device system.

Works for me now.

Hi,

It’s good to know that you have managed to solve it.

Feel free to ask if you have other questions

Just sharing what I found after too many late nights testing phone apps for my own small store.

CloudTalk – what I’m using now
I hooked it to Shopify in a few clicks, and whenever a customer calls I see their recent orders right away. Setup took less than an hour, and support answered in roughly ten minutes the one time I needed help. Call quality has been steady even on our patchy Wi-Fi. I also connected Gmail through a simple Zapier flow, so calls and emails sit together. Nothing flashy, it just works.

Aircall – mixed results
Looked great in the demo, but day-to-day the Shopify info sometimes arrived late or missed fields. The per-seat price is a bit higher than CloudTalk, and I waited about two days for a support response during a busy week. Maybe bad timing, but it nudged me to switch.

RingCentral – powerful but pricey
RingCentral can do calls, video, fax—you name it—and you can link it to Shopify with an extra app. The feature set is huge, but so is the bill. Felt like overkill for my needs.

I can’t believe no on ever mentioned Gorgias! I haven’t tested it yet - but in documentation it’s all what’s needed.

I have already moved from Tidio to Gorgias to reply to emails and chats in Gorgias which has a deep connection to Shopify. Now will try Gorgias Phone too, which should not only pull up order details, if any - but also a ticket/email history. As you may know it’s so relevant to see who’s calling and what is the matter there, and just Shopify order sometimes can’t tell you all about it. But together with all the emails, etc. if it all works like that - MAAAAN. ITS WHAT I NEEDED! I even would complaint to Gorgias to missing these kind of forums just like that. It’s been years MAN!

To anyone who just thought about it. Now you now. Welcome.

I’ve been using activecalls for a while now and it pulls up customer info and order history right away when someone calls, which saves a lot of time. It shows everything inside the Shopify inbox, so I don’t have to switch between apps to look up details. Super helpful if you’ve got a lot of customer calls and want everything in one place.

You could give a try to apps like CloudTalk or RingCentral, that are integrated with Shopify, and have the order/customer details displayed when receiving calls. They typically integrate with Gmail or email streams, so what you get is a unified version of those interactions. Several enable call pop-ups and auto caller lookups via Shopify database.
